Hoa Board meeting update

HOA Board Update: Hope everyone is staying safe and healthy! Here are some updates from the HOA Board meeting that was held on Sunday, August 16th. Once the meeting minutes have been transcribed and approved, they will be posted on the website.
1) HOA Board positions - all open board positions have been filled and committees have been established for Arch Requests, Violations, Nominations, and "Social" for newsletter and website.
2) HOA Annual Dues - Updated invoices/ delinquency letters for Annual dues have been mailed. If you recently mailed a payment and receive a letter, please contact us as I know there have been some issues with the mail.
3) Online payment option - we are in the process of setting this up; however, it will be an additional expense for the HOA and since 40% of homeowners still owe HOA dues, there may be a delay in completing the process. So for now, please mail checks made out to the HOA to the P.O. Box address listed on the letter.
4) General Membership Meeting - since it seems that it could be several more weeks or even months until public buildings open and become available to hold a meeting, the HOA Board has suggested holding the meeting in the main common area. We are looking into dates in October.
5) Newsletter - in the next couple of weeks, we hope to have a newsletter completed that we will be mailing to all homeowners. We will be including names and positions of HOA Board members, a tentative budget for 2021 along with some additional resource information so please keep an eye on your mailboxes.

Arcitectural review reminder

HOA Board Update: This is a friendly reminder that prior to making "an alterations to the exterior of any structure and/ or contour of any property" (Declaration of Covenant Article 2, Section 1), an architectural request form needs to be submitted to the HOA Board and Architectural Review Committee. This would include but is not limited to fences, sheds, decks, patios, in-ground pools, driveway extensions, color scheme changes such as painting exterior of house or door, and trash enclosures.
As of right now, the guidelines for things such as fences, decks, patios, and trash enclosures are relatively broad, but this may change in the future. If more specific guidelines are adopted by the HOA Board and Olde Field Village Community in the future, any structure not previously approved would NOT be grandfathered in and could be subject to violation notices, fines, and require modification to fit the guidelines.
Please note, I am not saying this is definitely going to happen or that it is going to happen anytime in the near future. It is however, something that is being looked at by the HOA Board. I know several homeowners have reached out to the HOA Board regarding this issue and that is why we are trying to make sure there is consistency and a plan in place for moving forward. The purpose of this post is simply to educate those homeowners who may be unaware or unfamiliar of the protocol for HOA Architectural Request, guidelines and requirements.
Finally, an approved Arch Request Form is not a substitute for any permit that may be required by Kent County for such work to be done on your property. Please make sure you are also following Kent County guidelines for what does or does not require a building permit.
